Too Many Records Error When Importing Records to Playbooks

You are trying to add some records to a Play but you are getting the following error msg:

Record limit reached. Remove records in order to add new ones.

 

Information

When the user reaches the maximum number of records enrolled in Playbooks, records will fail to upload. Playbooks can have a maximum of 8,000 records enrolled, which means that if you are adding new records that will pass over this limit, you will get this error. This is designed for best Playbooks performance, but if you believe that Playbooks will benefit from the limit increase we can consider it for future versions as an enhancement.

You can avoid this behavior by checking the following recommendations:

  • Keep the number of enrolled records under 2,000: This will avoid this error and will optimize the overall performance of the Plays.

  • Do periodic maintenance over your records by following these simple rules:
    1. Delete first the Records that weren't enrolled in any Play. Remember that you can Bulk Removing Records from a Play if you need to.
    2. Next, unenrolled prospects should be deleted from Playbooks, as often as possible. Delete these unenrolled records from Playbooks to correct the error and start enrolling records again.
    3. Finally, you can focus on tasks enrolled in an older Play for further cleanup. For this case, bear in mind that It is not currently possible to bulk remove tasks from a Play.
